RESERVATION POLICY
Before purchasing a retreat, it is your responsibility to thoroughly read and clearly understand the cancellation policy. A full deposit of the total room cost including taxes is required to secure your reservation. Once the booking has been processed, you will receive a Reservation Confirmation email that outlines a summary of your booking. Please review the information carefully and contact us immediately at heal@vitalfrequencyretreat.com if you have any questions or require any changes. Payments can be made with credit cards (Visa, Master Card, and American Express), PayPal, or bank transfers. Payments made using credit cards or PayPal will incur an additional fee of 4%. Please contact us for bank transfer details. Please review our Cancellation Policy below. Securing your reservation with a credit card means you accept the terms of our Cancellation Policy.
On check out, an optional 13% hotel services and gratuities charge will be added. All restaurant costs include an additional 15% restaurant service charge.
We highly recommend that all our guests purchase Travel Insurance, which is generally inexpensive, but can really save a lot of financial loss and emotional distress if an unforeseen event occurs. We recommend your travel insurance will cover you for airline flight and accommodation cancellations especially during the hurricane season or any unexpected force majeure. We also recommend you are considering coverage for accident, illness, medical evacuation, and theft.
CANCELLATION POLICY
Securing a reservation with your full payment means you accept the terms and conditions of our Cancellation Policy. Requests for changes to your reservation must be made in writing to heal@vitalfrequencyretreat.com and confirmed as received to acknowledge and resolve your request. Cancellations made more than 60 days prior to the check-in date will receive a refund of the deposit/amount paid less ONE NIGHT as detailed in the invoice or the option of a CREDIT, which is valid for one year from the cancellation date. In the event of credit, a 5% administration fee on the total of the booking will be applied. Cancellations made between 31 and 60 days prior to the check-in date will receive a 50% refund of the amount paid or the option of a CREDIT toward future stays, which is valid for one year from the cancellation date. In the event of credit, a 5% administration fee on the total of the booking will be applied. Cancellations made less than 30 days from the check-in date will forfeit 100% of the amount paid. All CREDITS are subject to availability and based on rates as per our published room rates. All refunds are payable by PayPal or credit card refund and are subject to PayPal/credit card fees and the terms and conditions of those institutions. We do not issue refunds by bank transfer at this time. Please consider taking out Travel Insurance to protect against unexpected cancellations or entire lost. No shows will be charged at the full booking price. We do not issue refunds or credits for flight cancellations, due to any circumstances. Please consider taking out Travel Insurance to protect against flight cancellations. Any changes to your reservation must be received no less than 30 days prior to your original arrival date via email, and changes are subject to availability. There are no refunds or credits issued for reservation changes within 30 days of the arrival date that reduce the number of nights stayed. There are no refunds or credits issued for early checkouts. There are no refunds or credits issued due to bad weather, tropical storms or hurricanes or any other situation beyond our control; including any inconvenience or complication caused by a hurricane or threat of a hurricane strike. Hurricanes are unpredictable by nature. There are no refunds for global or local medical alerts and /or civil or federal disruptions. In the event that Federal Restrictions for Travel in and out of Jamaica are in place, then all applicable room bookings during the period will be granted a credit for 100% of the deposited amount to be used within twenty-four months of the original booking date. Please take out Travel Insurance to protect against these types of unforeseen events. Vital Frequency Retreat is not liable for any other costs, evacuation, or inconveniences caused by a tropical storm or hurricane. All credits issued are valid for one year from the original cancellation date. A credit can only be used for Hotel Room Reservations at Vital Frequency Retreat and cannot be used for hotel services. A credit can be transferred to another person provided we have written authorization from you and are subject to availability.
Vital Frequency and its employees shall not be liable for any damages caused mentally or physically as a result of, or in connection with: Any delays or cancellations; In the event of a traveler becoming ill during a vacation, or having to cut their vacation or short; Any consequence at all related to injury including any actions which may cause harm or injury caused to any guest related to the structures/design of the property and any consequence, to also include injuries within or because of the yoga studio, wellness spa, decks, balconies, restaurant, swimming or being in the hotel pool or sea. All hospital and medical expenses are the traveler’s responsibility. Monetary crises, social unrest, political or labor problems, economic changes, electrical outages due to weather, water disturbances, mechanical maintenance or construction difficulties, for any claims, losses, damages, costs, expenses, delays or loss of enjoyment, of any nature or kind whatsoever resulting from events beyond our or a supplier’s reasonable control, including but not limited to acts of Nature (hurricanes, mudslides, earthquakes), flight cancellations, federal flight, and immigration restrictions or changes, strikes, labor disputes, lockouts, threats or acts of terrorism, acts of war or declared war, hurricanes and weather conditions, diseases or epidemics/pandemics, novel or unexpected conditions and local laws. Absence of travel documents, visas, passports, health certificates where required. Vital Frequency Retreat is not responsible for advisement of travel and entry requirements. Loss of items that are not secured in the hotel safe, or for losses incurred when rooms are not locked are beyond our control and Vital Frequency Retreat Jamaica is not liable.
